Account Name Changes

When you receive a University computing account, you are assigned a "computing account name" (also referred to as “user name”). Your computing account name can NOT be changed in the system at this time due to technical limitations.

What can be changed, if desired, is how your name is displayed in 1) email and 2) the UNCG online Campus Directory. To set or change a “preferred (or “display”) name” in ...

Computer account name ("user name"): Can NOT be changed

  • The portion of your assigned UNCG email address that appears before "@uncg.edu," e.g., "jdsmith5" in email address "jdsmith5@uncg.edu"
  • Used to login to email, lab machines, the campus network, and other campus accounts
  • Format: typically contains a combination of your first, middle intial, and last name, and sometimes a number (total length = 8 characters or less)
    Example: jdsmith5

Preferred name ("display name"): CAN be changed

  • A version of your name that you would prefer to appear in places such as email or the UNCG online Campus Directory.
  • Format: sequence of letters or names of your choice. Example:
    Legal name: John David Smith
    Preferred name: Dave Smith

Common Scenarios

  1. I would like a different user name than the one that was assigned to me. Can I have it changed? (No, but here’s what you can do that may help….)

It is currently not possible for your user name (computer account name) to be changed in the system. However, there are some options for changing how the name portion of your email address appears in iSpartan email. See How do I change my name in email?

General Questions

  1. How do I change my name in the online Campus Directory?

Faculty and staff: You can set a “preferred name” in UNCGenie that will appear in the online Campus Directory instead of your legal name:
    1. Login to UNCGenie and click on Personal Information.
    2. Click Update Employee Directory Information.
    3. Go to the “PREFERRED NAME” section, update your name in the fields provided, and click Submit.

Students: You cannot set a “preferred name” (i.e., a name different from your legal name) in the online Campus Directory. The only circumstance in which your name would be changed in the Directory would be if you experience a legal name change. In that case you can request a name change for your academic record with Registrar’s office, and after the request is completed, the new name will appear in the Directory.

  2. How do I change my name in email (in “From” and “Reply-to” fields)?
You can not change the account name portion of your email address (e.g. “jdsmith5” in the email address “jdsmith5@uncg.edu”). But there are some options for changing the name that appears along with your email address in the “From” or “Reply-to” fields.

For example, if your legal name is “John D Smith” and your computer account name is jdsmith5@uncg.edu, then by default your From/Reply-to address is John D Smith <jdsmith5@uncg.edu>.

But if you changed the name portion of this address to "Dave Smith" then the From/Reply-to address would be Dave Smith <jdsmith5@uncg.edu>.

The steps you need to take to change the name that appears in the From/Reply-to fields depend on whether or not you have a Google+ profile set up.

If you have a Google+ profile set up, see How to Change Your Google+ Profile Name for instructions. Editing your profile name in Google+ will change your name in all of the Google products you use with your UNCG account.

If you don’t have Google+ profile set up, you can either set up a Google+ Profile and then follow the directions above, or change your name in your email Settings as follows:

    1. Log in to iSpartan.
    2. Click the gear icon in the upper-right corner and click on the Settings.
    3. Click on the Accounts tab.
    4. In the Send mail as section, click Edit Info.
    5. Select the option button beside the blank Name box and enter the updated name into the box, as shown in the example below:
    6. Edit email address

    7. Click Save Changes.

Note: Any changes made to Google settings or profile can take up to 24 hours to be reflected.

  3. Can I change the “From” and “Reply-to” addresses in the email I send?

"Yes" if you are faculty or staff; "No" if you are a student.*

You can only change the “From” and “Reply-to” addresses associated with your UNCG email account if you have a UNCG email alias. Email aliases are only permitted for faculty or staff.

Faculty and staff: You have the option to request an email alias, e.g. “Dave_Smith@uncg.edu” instead of “jdsmith5@uncg.edu.” The alias address can then be used as the “From” and “Reply-to” addresses in email.
    1. Request an email alias (see Email Alias Procedure for information about aliases and how to request one).
    2. After getting an alias, if you wish to have it as an option to be used in your From/Reply-to fields, you must first add it to your iSpartan account. See Send mail from a different address or alias and follow the directions under this option:

"I'm a Google Apps for Business user sending from a domain alias or email alias.”

Note: When adding the alias email address, you will probably wish to deselect Treat as an alias. This may seem counterintuitive, but if you read the “Learn More” information for that option, you will see that if you select Treat as an alias, then the Reply-to address that will come up when a reply is made will be your primary (non-alias) account address.

    3. After adding your alias address to iSpartan account (in Step 2), you can make it your “default” address so that the “From” and “Reply-to” will reflect your alias in the mail you send out:
      1. Log in to iSpartan and click on the Settings link in the top-right corner.
      2. Click on the Accounts tab.
      3. In the Send mail as section, click make default next to your email alias account.

(*While students cannot change the "From" and "Reply-to" addresses associated with their UNCG email account, they can change the display name portion of these fields if desired. See How do I change my name in email?)

  4. Can I change my name in the iSpartan Global Address Book (“Contacts”)?
  5. Yes, you can do this by changing your Google+ profile name (information in the iSpartan Global Address Book is controlled by your Google+ profile). If you have not yet joined Google+, see Google+ Account Setup at UNCG.

If you already have a Google+ profile, see How to Change Your Google+ Profile Name for instructions.

Once the change is made, it will be reflected in all of your Google apps. It may take up to 24 hours for the change to take effect everywhere.
⇒ Important: You should be aware of the Google policy that you can only change your Google+ profile name three times in two years, so be judicious in your use of this option!

Note: If your name was changed in Banner (e.g. a legal name change), whether or not this change propagates automatically through to the iSpartan Address Book depends on whether you have a Google+ profile set up:

    • Google Profile+ is already set up: change will NOT automatically be reflected in theiSpartan Address Book. You will need to change the name manually (see How to Change Your Google+ Profile Name).
    • Google Profile+ is not set up: change WILL automatically be reflected in the iSpartan Address Book.
