Mass Email Procedure

Purpose

This procedure addresses the following section of the related policy:

Section III.C.ii.b

"...[prohibited activities include] sending unsolicited mass email messages without proper unit authorization, posting unsolicited and inappropriate list/web/newsgroup messages, including the sending of 'spam' (junk email) or other commercial advertising material to individuals."

Scope

This procedure covers all campus entities desiring to send mass email.

Responsible Parties

Procedure

Anyone desiring to send a mass email will need to obtain approval prior to sending. They should call 6-TECH who will open a ticket and assign it to the Virtual Communications Office. The user must include the following information:

Approval will come from one of the listed staff members in Vice Chancellor Clotfelter's office with permission from ITS management to send out mass email.
