About Gmail

All faculty, staff, and students receive an iSpartan email account for access to Gmail and related Google Apps when they activate their University Computing Accounts. Your Gmail address will be in the format username@uncg.edu. This account is integrated with other Google App components, such as Calendar, Docs, and Sites.

Email Archiving and Retention

Google Vault is an add-on for Google Apps that will provide retention and disaster recovery for email for all users of Google Apps at UNCG, not just those in specific employee classifications. Please refer to About Google Vault for more information.

Spam Protection and Virus Protection

For all UNCG users (students, faculty and staff) email archiving, spam protection, and virus protection is handled directly in Gmail. Please refer to Archive messages, Reporting spam, and Anti-virus scanning attachments for more information on these topics.

Frequently Asked Questions

  1. Can I make Gmail the default email program when I click email links?
    Your device and/or browser controls what email program launches after clicking on an email (mailto:) link. Many browsers, such as Chrome, Firefox and Safari, have settings that control this behavior or can run plug-ins/add-ons to make Gmail the default.

    In Chrome, this functionality is called a Handler. To enable Gmail to be the default email (mailto:) handler, in Gmail locate the Handler Notification symbol (double diamond icon) at the end of the web address bar, and choose Allow.

    You can later manage this handler in Chrome under Settings > Advanced > Content Settings > Handlers.

  2. Can I access my Gmail account from another email program?
    Yes. POP & IMAP Access is available. When configuring POP or IMAP access, be sure to enter your full Gmail email address as the username. For example, your username would be yourusername@uncg.edu and not yourusername.

    Information Technology Services (ITS) has chosen to support connecting Microsoft Outlook to your Gmail account via G Suite Sync for Microsoft Outlook (GSSMO). ITS will assist you in setting up G Suite Sync for Microsoft Outlook and making sure your data is syncing properly. ITS will not be able to assist with the usability of Microsoft Outlook beyond making sure it is connecting and syncing properly to your Gmail account.

  3. Will I be able to change the name on my Gmail account?
    Due to technical complications, UNCG ITS is unable to perform computer account name (user name) changes at this time. However, you may change your display name in Gmail. In Gmail, click on Options --> Mail Settings --> Accounts.

    We expect this issue to be resolved in the future and are continuing to research and develop a solution that will allow for username changes to work across all UNCG systems. Students can request legal name changes at the Registrar's Office.   4. What is a Secondary Account?
    A secondary account allows an entity to publish a valid @uncg.edu address to its clients. Email sent to this address will be delivered to the account, which may be accessed by multiple people. For more information, see: Email Account Information.
  5. What is an Email Alias?
    An email alias is an alternate email address that can be used to send/receive email in addition to the primary UNCG username. This allows you to have a longer or different email address than the one that was automatically assigned. For more information, see: Email Alias Procedure.
  6. How can I delegate access to my Gmail Account to another user?

  7. How can I set up an email list using Google Groups?
    Fill out the Google Groups Request form.
  8. How large a file can I send with iSpartan Gmail?
    You can attach files up to 5 terabytes in size to a Gmail message, using the online storage service of Google Drive. For more information on this method of sharing files, see About Google Drive.

    Traditional-type email attachments (non-Google Drive docs) continue to have a 25MB file size limit.
  9. How much storage quota do I have in Google Drive/Gmail?
    There is no storage or quota limit for Google Drive or Gmail. UNCG users can store unlimited email, documents, files, photos in Google Drive and Gmail, with individual files up to 5 terabytes being allowed. For more information, please see
