Meet Me Conference Line Reservation and Changes

The Meet Me conference is a free, audio-only service that allows up to 30 callers to dial in to a prearranged local phone number; each caller is responsible for their long distance charges, if applicable. Reservation requests are available on a first-come, first-served basis and are processed through UNCG’s iSpartan Calendar.

Please note: Meet Me conference lines are meant for meetings with 3 or more participants.

How to Reserve a Meet Me Conference Line

  1. Make sure your iSpartan calendar is using the Eastern time zone:
    1. Click the Settings menu icon, located in the top-right corner of your Google Calendar.

    2. Select Settings from the drop-down menu.

    3. In the Time zone section, set Primary time zone to Eastern Time. Changes will be saved automatically.

    4. Click the arrow in the top-left corner to return to your Calendar.

  2. Create an event on your calendar:
    1. Click on the desired date on your calendar and then click the More Options button.

    2. Enter the name of your event and the start and end times.

      Hint: Add 15-minute buffers before the start of the call and after the expected finish time to avoid potential conflicts with other scheduled calls.
  3. Choose a conference line:
    1. In the event details window, click the Rooms tab and then select MeetMe from the list to show the lines.
    2. Click a number in the list to add the line.
      Note: If Available rooms only is selected, you will only see the lines that are available at the time you have selected for the event.

      Notice that after MeetMe – 336-334-3195 is added:
      • The location is automatically filled in.
      • The MeetMe resource shows up in the list of Guests (or "invitees").
      • Your availability should be set to Busy. If not, choose Busy from the drop-down list. If you select Free, the line is available for someone else to reserve.

  4. Invite guests, if desired, and Save your event to request the conference line:
    1. In the event details window, click the Guests tab.
    2. Enter the email address(es) in the Add guests text box.


    3. After adding the email address(es), click the Save button.

      Note: The MeetMe conference lines can accommodate a maximum of 30 callers.
  5. Please allow 1-3 business days for our staff to confirm new reservations. You can view the reservation status in your event by clicking on the event in your iSpartan calendar.
    • If your reservation has not been processed, you will see a gray circle to the left of MeetMe in the "guests" section.
    • If your reservation has been ACCEPTED, you will see a green check to the left of MeetMe in the "guests" section.
    • If your reservation has bee DECLINED, you will see a red X to the left of MeetMe in the "guests" section.
    If you have Event responses set to Email, you will receive an email telling you whether the reservation was Accepted or Declined. The picture below shows a sample "Accepted" for MeetMe line # 336-334-3193.

How to Change a Meet Me Reservation

If you need to cancel a reservation, you can simply Delete the event from your iSpartan calendar:

  1. Click on the event in your calendar.
  2. Click the Delete event button.

If you need to change the date or time, you can simply Delete the current reservation and create a new reservation. You can also make adjustments directly in your iSpartan calendar event:

  1. Click on the event in your calendar.
  2. Click the Edit event button.
  3. Update the date and/or time and check the availability of the MeetMe line. You can use Find a Time to ensure the line is available at the new time.


    In the example above, notice that the MeetMe line is already reserved from 10am-11:30am. In this case, you would delete the current MeetMe number from the Location field, under the Event Details tab and then choose another MeetMe line.

  4. After making your changes, and ensuring the conference line you've reserved is still available, click the Save button. Please allow 1-3 business days for our staff to confirm changes to existing reservations.
