Who Is Affected?

Anyone at UNCG who hosts Microsoft Teams meetings that include non-UNCG participants

When is This Happening?

Monday, March 16, 2026
The change will roll out over approximately 48 hours.

What’s Changing?

Anonymous (non-UNCG) users will now be able to:

  • Interact with meeting apps
  • Contribute to the Microsoft Whiteboard
  • Participate more fully in collaborative meeting tools

Previously, anonymous users had more limited interaction capabilities within meeting apps.

Important: Anonymous users can interact only with apps that are active during the meeting. They cannot add or manage apps, and they do not have ongoing access to app content after the meeting ends.

What’s Staying the Same?

UNCG’s current meeting security defaults remain in place:

  • Only organizers and co-organizers can admit participants from the lobby
  • All non-UNCG users are placed in the lobby by default
  • Meeting organizers can require participants to verify before joining
  • Organizers control meeting settings and participant permissions

These safeguards help ensure meetings remain secure while supporting collaboration with external participants.

What Do I Need to Do?

No action is required.

However, if you host meetings with external participants, you may want to:

  1. Review your meeting options before the session begins.
  2. Confirm your lobby settings match your security needs.
  3. Decide whether to require verification before joining.

You can adjust these settings when scheduling the meeting or during the meeting under Meeting options.

Why This Is Important

Many UNCG faculty and staff collaborate with external partners, vendors, and community members. This update improves collaboration by allowing non-UNCG participants to fully engage in shared tools like Whiteboard while maintaining UNCG’s existing security controls.
